We want to make your experience with us as smooth and helpful as possible. These terms explain how our appointments, payments, and cancellations work. By booking or attending an appointment, you agree to the following:

Appointments

  • Please book in advance via phone or email.

  • Arrive on time so you get the most out of your session. If you arrive late, your appointment time may need to be shortened, but the full fee will still apply.

Cancellations & Rescheduling

  • There is a 24-hour cancellation policy.

  • If cancellation or rescheduling of an appointment is required, please provide at least 24 hours’ notice prior to the session.

  • Cancellations made with less notice, or failure to attend, will result in the full session fee being charged.

  • This policy helps to ensure that appointment times remain available for other patients who may require them.

Fees & Payment

  • Current prices are available at the clinic and on our website.

  • Payment is due at the time of your appointment unless you’ve agreed something different with us beforehand.

  • We accept cash or cheque. In some circumstances invoices will be raised and payment via bank transfer can be made.

  • If you’re using private health insurance, it’s your responsibility to make sure your policy covers physiotherapy with us. Any unpaid balance is your responsibility.

Your Health Information

  • Please tell your physiotherapist about any health conditions, medical history, or changes in your health so we can treat you safely.

  • Safe and effective treatment can only be provided if we have the right information.

Confidentiality & Privacy

  • Everything you share with us is confidential.

  • Your information is kept safe and in line with UK data protection laws (including GDPR).

  • Your details will never be shared without your permission, unless the law requires us to.

Our Responsibility

  • Although every effort will be made to achieve the best possible outcomes, specific results cannot be guaranteed.

  • Nothing in these terms affects your legal rights, or our responsibility for any injury caused by negligence.

Consent

You will be asked to complete and sign a medical form and a GDPR consent form prior to your initial assessment. A link to this will be included in the confirmation email you receive for your first appointment. This is in accordance with GDPR laws and a copy of the GDPR policy here at Swan Health is available on request.

Changes to These Terms

  • These terms and conditions, may be updated from time to time. The latest version will always be available on our website and at reception.
